Please submit all requested course documents (liability waiver, medical form, etc) at least 1 week prior to the the start of the course. Our instructors use this information to prepare to lead quality trips for our clients. We cannot allow you to participate in a course without the required paperwork.
Our cancellation policy reflects the commitments we make to our guides and the costs we incur when setting up a trip or clinic. In order to keep trip costs low for all participants, we do not build cancellation costs into the prices of our trips. If you give us plenty of notice (120+ days) we are able to offer a partial refund. With less than 30 days notice, we cannot offer refunds. Requests to transfer your registration to another trip are treated the same as cancellations, because a transfer requires a cancellation as well as reserving a spot in a new course.
If would like a backup plan in case you need to make a cancellation, we recommend purchasing travel insurance. Travel insurance is an excellent way to protect yourself against circumstances that might prevent you from participating in a trip or clinic, and help you cover travel and medical costs associated with getting injured while on a trip. If a participant wishes to cancel her enrollment in a clinic, a 100% refund minus a $50 processing fee will be offered if notification is made to Backcountry Babes (email@example.com) at least 60 days prior to the first day of the course. The participant will receive a refund of 50% of the course fee if she notifies Backcountry Babes 30 days prior to the first day of the course. No refunds can be offered with less than 30 days notice. We will confirm your cancellation in an email.
If a course participant wishes to cancel her enrollment in a longer trip, a 100% refund minus a $200 cancellation fee will be offered if notification is made to Backcountry Babes (firstname.lastname@example.org) at least 120 days prior to the first day of the course. The participant will receive a refund of 50% of the trip fee minus a $200 processing fee if she notifies Backcountry Babes by email 60 days prior to course initiation. No refunds can be offered with less than 60 days notice. We will confirm your cancellation in an email. If your situation changes and you become able to join the trip after cancelling, we may not be able to honor that request.
Shorter Course Transfer Policy (for any program 1, 2 or 3 days in length): When space allows for a transfer and it is 60 days or more prior to the original course start date, we can make the transfer for a $50 fee plus any price difference between the two trips. With 30 to 60 days notice we can apply 50% of the original course fees to a new course. With less than 30 days notice we cannot offer to apply funds from your original course to a new course. We will confirm your course transfer in an email. We can only offer transfers to trips happening within the same season as your original course.
Longer Course Transfer Policy (any program of 4 or more days): When space allows for a transfer and it is 120 days or more prior to the original trip start date, we can make the transfer for a $200 processing fee plus any price difference in the two trips/courses. With 120 to 60 days notice we can apply 50% of the original trip fees to new trip dates. With less than 60 days notice we cannot offer a to apply funds from your original trip to a new trip. We will confirm your cancelation in an email. If your situation changes and you become able to join the trip after canceling, we may have filled your spot with another person and may not be able to honor that request.
British Columbia Trip Worry-Free Reservations: For BC trips happening in March and April 2018: $600 Deposit to save your spot. Remainder due in September, 2017. Option to transfer to another Babes trip with your deposit anytime before September and we will waive cancellation fees.
All deposits (for wait lists or for trips that require a deposit) are forfeited if you cancel at any time prior to the start of the trip. We use deposits to cover costs that are unrecoverable (such as securing venues) or to contract with instructors and guides (an important commitment that we cannot break).
Many of our programs take place in remote settings where rescue is difficult and definitive medical care is far away. Additionally, most our our outings require a high level of physical activity for a considerable length of time. When you register, please fill out our medical form, and let us know about any medical condition, diet, or other need for special accommodation. Please be sure to discuss any relevant details and any updates about your health with your guide or instructor when the trip or clinic begins.
We use the information on our medical form to help facilitate treatment should a problem arise. Thank you for taking the time to thoroughly answer all questions on the form. If we have any questions about your ability to safely complete a program we will call and discuss the issue with you. You may be asked to consult a physician.
